This Privacy Policy explains how Spartan Systems LLC ("we," "us," "our"), operating as orophin, collects, uses, shares, and protects information when you use our AI-powered assistant for real estate agents at orophin.com and related services (collectively, the "Service").
When you create an orophin account, we collect your name, email address, and phone number. You may also provide business preferences such as your market area, specializations, pricing approach, and team size. We store your timezone, schedule preferences, and AI behavior settings (e.g., autonomy level, confidence thresholds, communication preferences).
When you connect your Follow Up Boss account via API key, orophin accesses contacts (names, emails, phone numbers, addresses, lead source, stage, tags, custom fields, notes, and tasks), deals (property addresses, prices, stages, closing dates, linked contacts, and notes), and activity records (events, calls, texts, and email logs).
When you connect your email account via OAuth, orophin reads incoming emails including content, attachments (such as PDFs and documents), and metadata (sender, recipients, subject line, and dates). orophin may draft reply emails for your review and approval. orophin does not send emails without your approval unless you explicitly enable auto-send for routine message categories.
Gmail OAuth scopes requested: gmail.readonly, gmail.send, gmail.modify. Outlook OAuth scopes requested: Mail.ReadWrite, Mail.Send.
When you connect your calendar via OAuth, orophin reads calendar events including titles, times, locations, attendees, and descriptions. orophin can create new calendar events (such as showings, closings, and inspections) on your behalf.
Google Calendar scope requested: calendar.events. Outlook Calendar scope requested: Calendars.ReadWrite.
All messages exchanged between you and orophin via iMessage or Slack are stored as conversation history. This includes your instructions, questions, and any information you share in conversation.
Payment processing is handled entirely by Stripe. We store your Stripe customer ID, subscription status, plan type, and seat count. We do not store credit card numbers, bank account details, or other payment method information.
We collect information about how you interact with the Service, including features used, actions taken, timestamps, and performance metrics. This data helps us improve the product and diagnose issues.
Walk Score data: Property walkability, transit, and bike scores are retrieved from the Walk Score API using property addresses only. Scores are cached in orophin's database. No personal data is sent to Walk Score.
Mortgage rate data: Publicly available weekly mortgage rate data from Freddie Mac's Primary Mortgage Market Survey is cached and used in briefings and property discussions. No personal data is involved.
When you schedule an email for future delivery, the email content and scheduled delivery time are stored in orophin's job queue until delivery, then retained as part of the email record.
orophin does not access MLS data directly, financial systems or bank accounts, phone call audio or recordings, or your personal files outside of what you share in conversation with orophin.

orophin is designed for and offered exclusively to users in the United States. All personal data collected through orophin is processed and stored in the United States using infrastructure provided by our service partners, including Google Cloud Platform (us-east4 region), Render, Vercel, and Supabase.
orophin does not target, market to, or knowingly collect personal data from individuals located in the European Union, European Economic Area, United Kingdom, or any other jurisdiction outside the United States. If we become aware that a user is accessing orophin from outside the United States, we may restrict or terminate their access.
orophin uses Google's Gemini AI models, accessed through Google Cloud Vertex AI, to process your data and generate responses. When you interact with orophin, your CRM data, emails, calendar events, conversation history, and other relevant context may be sent to Google's Gemini models for analysis and response generation.
Under Google Cloud's Vertex AI terms, your data is not used to train Google's AI models. Data is transmitted to Google Cloud infrastructure for processing and is handled in accordance with Google Cloud's data processing terms.
orophin's AI-generated responses may contain errors or inaccuracies. orophin is not a lawyer, financial advisor, or licensed real estate agent. You are responsible for reviewing and verifying all AI-generated content before acting on it. orophin should not be relied upon for legal, financial, or tax advice. orophin does not make final decisions on your behalf — you approve all client-facing communications, and you can configure the level of autonomy orophin has over different types of actions.
Because orophin processes your CRM contacts, emails, and calendar data, personally identifiable information about you and your clients is sent to Google Cloud for AI processing. This is necessary for orophin to function — for example, to draft an email reply, orophin needs to read the original email. By using the Service, you acknowledge and consent to this processing. You may withdraw this consent at any time by pausing AI processing from your dashboard.
We use the following third-party services to operate orophin. Each processes data only as necessary to provide its designated function.
We do not sell, rent, or trade your personal information. We share data only in the following circumstances:
We retain your data for the duration of your active subscription. Specifically:
When you delete your account, all of your data is permanently purged from our systems, including all contacts, deals, conversations, settings, activity logs, cached property data (Walk Score and mortgage rates), and scheduled emails. Your Stripe subscription is cancelled and your Stripe customer record is updated accordingly.

We implement the following measures to protect your data:
No system is 100% secure. While we take commercially reasonable measures to protect your data, we cannot guarantee absolute security. If we become aware of a security breach that affects your personal information, we will notify you in accordance with applicable law.
orophin uses minimal browser storage. We use localStorage for session management on the dashboard. We do not use third-party tracking cookies, advertising pixels, or analytics services that track you across other websites.
orophin is a business-to-business service designed for licensed real estate agents. The Service is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will promptly delete it. If you believe a child under 13 has provided us with personal information, please contact us at support@orophin.com.
If you are a California resident, you have additional rights under the California Consumer Privacy Act and the California Privacy Rights Act. These include the right to know what personal information we collect and how it is used, the right to request deletion of your personal information, the right to opt out of the sale of personal information (we do not sell personal information), and the right to non-discrimination for exercising your privacy rights. If you are a Virginia resident, you may have additional rights under the Virginia Consumer Data Protection Act, including the right to access, correct, delete, and obtain a copy of your personal data, and the right to opt out of certain processing activities. Residents of Colorado, Connecticut, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws may have similar rights. Please contact us at support@orophin.com to exercise any applicable rights under your state's law.
We may update this Privacy Policy from time to time. If we make material changes, we will notify you at least 30 days in advance via email or through the Service. Your continued use of the Service after the effective date of any updated policy constitutes your acceptance of the changes. The "Last Updated" date at the top of this page indicates when this policy was most recently revised.
orophin is not intended for use by individuals outside the United States. We do not offer the service in any other country or region. If you are located outside the United States, please do not create an account or submit any personal information through orophin.
